Job Summary:
The Leasing Administrator plays a vital role in supporting the leasing and property management teams with the preparation, coordination, and management of commercial lease agreements and related documentation. This position ensures all lease-related records are accurate, deadlines are met, and documentation complies with internal policies and lease terms.
Key Responsibilities:
Draft, review, and process various lease-related documents including commercial lease agreements, temporary rental contracts, amendments, terminations and tenant documents.
Maintain lease abstracts and update lease administration systems (Salesforce) with accurate data.
Track and monitor lease milestones, critical dates (e.g., rent commencement, renewals, expiry).
Assist with drafting No Objection Certificates to tenants as directed by line manager.
Assist with Ejari renewals and ensure compliance with applicable regulations.
Serve as a liaison between landlord, tenants, and leasing team.
Assist with the lease approval process, ensuring proper documentation and authorization are obtained.
Assist with collections including rent, service fees, and other tenant charges.
Generate reports and summaries for internal teams regarding lease status, payments, occupancy, and other leasing documents.
Coordinate with accounting to ensure accurate billing and rent escalations based on lease terms.
Respond to tenant inquiries and assist with resolving lease-related issues.
Ensure lease files and records are maintained and organized in compliance with company standards.
Qualifications:
Bachelor’s degree in Business Administration, Real Estate, Accounting or related field preferred. 2+ years of experience in commercial real estate or lease administration. Strong understanding of commercial lease terms, structures, and documentation. Proficiency in lease administration software (e.g., Salesforce, Yardi, Strataware, or similar) and Microsoft Office Suite. Excellent attention to detail, organizational skills, and ability to manage multiple deadlines. Strong written and verbal communication skills. Ability to work independently and collaboratively in a team environment.
Preferred Skills:
Familiarity with real estate accounting principles. Experience working with legal documents and coordinating with legal teams. Knowledge of local and regional leasing regulations and practices.
