Essential Functions & Objectives
The Events Administrator will provide crucial support to the Events and Brand Activation team, focusing on commercial space rentals, event coordination, and administrative duties to ensure seamless operations and high-quality event execution.
This full-time position reports directly to the Events Manager
Events Commercial Clients, Partnerships & Events.
The Events Admin assists in the delivery of a strong schedule of year-round commercial activations with special partners, geared towards increasing Alserkal’s profitability.
Key Responsibilities:
Event Coordination: Assist in managing a comprehensive schedule of events, including logistics, permit applications, and vendor coordination.
Client Interaction: Handle inquiries and communications with clients and partners, ensuring all details are accurately recorded and communicated to relevant teams
Documentation and Reporting: Maintain meticulous records of events, including contracts, invoices, and client communications. Ensure compliance with local regulations by obtaining necessary permits and managing legal documentation.
Support Event Marketing and Sponsorships: Collaborate with the team to manage and update the event marketing calendar, ensuring no scheduling conflicts.
Administrative Support: Provide administrative support during peak times, including managing correspondence, preparing meeting materials, and handling sensitive information discretely.
Budget Management: Assist in budgeting and financial tracking, ensuring accurate record-keeping and cost management for events.
Tasks include:
Event Commercial Clients sheet with all details on every event which is shared with the wider team
Event sheet Caretakers Rota to be shared with HR weekly.
Alserkal Avenue Events sheet
Salesforce log-in leads and updates regularly
Events inquiry sheet - front desk inquiries and calls
Events x Marketing Clash Calendar - updated regularly.
Log numbers agreement number.
Sage - PRs and LPOs and GSRs
Create wetransfer links for venues.
Phone calls
Support on events email during peak time
Managing cash requests
Booking, laborers, cleaners, security, valet, etc..
Server document control and upkeep
Archive and organize all contracts, invoices and client information accordingly.
Manage and take ownership of gifting ideas, acquirement and budgeting for Special Projects’ team clients/partners.
Server document control
Obtaining all necessary permits and applications for Avenue Events | DTCM permit application & NOC and documents preparation
Required skills + experience
4 years’ experience in a fast-paced, high-volume environment in a related field
Educated to a Bachelor’s degree level or equivalent and holding relevant professional qualifications.
Excellent organizational and administrative skills
Excellent budget-keeping and reporting skills
Excellent writing and communication skills
Excellent interpersonal skills and ability to work effectively as part of a team. Self-motivated, with the ability to work within an ambiguous constantly changing environment
Position type and expected hours of work
This is a full-time position. Days and hours of work are Monday through Friday, from 10am to 6pm. Saturdays, Sundays and overtime might be required during intense periods and/or during special projects and events.
